Send four things on WhatsApp before you fly: your flight number, the date, the number of passengers, and the hotel or gate. That message is enough to confirm a Kilimanjaro Airport pickup. You do not need a passport number, a scan of your ticket, or a long account of the trip.

JRO Transfer meets you in arrivals at Kilimanjaro Airport (JRO / KIA) with a name board. The vehicle is a private Toyota Alphard for your party, up to 6 passengers. The price is per vehicle, not per person. We have done this airport work for 5+ years, across 1,300+ transfers, and these same four details are what we ask for before the landing.
Why these four details
A flight number tells us which plane to follow. The date tells us which arrival. The passenger count tells us the vehicle is enough. The hotel or gate tells us whether the ride is the published city fare or a quote. Missing the hotel name is the gap we see most often. People write “Moshi” or “Arusha” when the pin is a lodge outside the center, and the city fare does not apply there.
1. Flight number
Send the flight that actually lands at Kilimanjaro Airport, not the first flight of the journey. Airlines move the arrival time on the day. We follow that landing time. A normal delay does not add a waiting fee. If the airline changes your flight number before you travel, send the new one on WhatsApp. The driver still waits in arrivals with a name board.
2. The date you land
Use the date you arrive at JRO, not the date you leave home. A long connection can put you on the next calendar day. The city-center price does not change if that arrival is at night.
3. How many passengers
Count everyone who needs a seat, including children. One Alphard carries up to 6 passengers, with room for trek or safari bags. The vehicle is on the fleet page.
Moshi or Arusha city center is $50 for 1 to 3 passengers and $60 for 4 to 6. That price is for the vehicle, not for each person. One passenger pays $50. Four passengers in the same Alphard pay $60 together. The fare is written out on Prices, and the Moshi version is in how much is a taxi from Kilimanjaro Airport to Moshi.
4. The hotel or the gate
Name the property, not only the town. A hotel in the center of Moshi or the center of Arusha is the $50 or $60 ride. Our Kilimanjaro Airport to Moshi page describes that city drive as about 45 to 60 minutes. The Kilimanjaro Airport to Arusha ride is about 50 to 70 minutes, and the steps are in how to get from Kilimanjaro Airport to Arusha.
These are a quote, sent before you fly, not the city fare:
- Park gates such as Machame, Marangu, and Londorossi
- Hotels near the airport, including KIA Lodge and Airport Planet Lodge
- Any lodge outside Moshi or Arusha city center, including Usa River
If you only know the lodge name, send that. We confirm the pin and reply with the fare while you still have time to change the plan. Both city rides also sit under Destinations.
What you can leave out
Do not send a passport number, a ticket PDF, or card details. We do not need them to meet you. Message WhatsApp +255 625 943 752, or use the Contact page. The order of the pickup is on How it works.
What we wish you knew
The thing we wish every traveler had heard before landing is this: if you wrote to us before the flight, you do not have to find a car in the crowd outside. Someone is already in arrivals with your name.
What to prepare
Keep the flight that lands at Kilimanjaro Airport on your phone, not the first flight of the trip. Keep the hotel or gate name handy in case the plan changed on the way. WhatsApp is how we reach you if the baggage belt is slow. You do not need a passport scan or a printed ticket for the driver. Your bags stay with you through immigration and baggage claim. They go into the vehicle after that.
What travelers do when they land
On our pickups, people clear immigration, collect their bags, and look for the name board in the arrivals hall. They stay inside. They do not walk out to the shared-shuttle line or start bargaining for a taxi. If the flight was early or late, they still do the same thing. We have been watching that landing, so the board is there when they come through.
What they are glad about once they sit down
What matters in the car is that it was never shared. It is one Toyota Alphard for their group, with captain seats, air conditioning, and room for trek or safari bags. Climbers are glad the duffel goes in the same vehicle. Safari guests are glad the luggage stays with them. After a long flight, people are glad they can sit and leave, day or night, without sorting out a ride they have already arranged.
Questions before you send the message
What should I send before a Kilimanjaro Airport pickup?
Your flight number, the date you land, the number of passengers, and the hotel or gate. Those four are enough to price the ride and plan the name board.
Do I need to send my passport number?
No. A passport number or a copy of the ticket is not required for the pickup.
Is the $50 price per person?
No. It is per vehicle. One passenger to Moshi or Arusha city center pays $50. Four passengers in the same Alphard pay $60 together, not $60 each.
What if I only have a lodge name?
Send the lodge name. If it sits outside Moshi or Arusha city center, the ride is a quote, not the city fare. We send that quote on WhatsApp before you fly.
What if the flight is delayed?
Keep the flight number in the message. We follow the landing time. A normal delay does not add a waiting fee, and a night landing does not change the city-center fare.
Does this cover a park gate?
No. Machame, Marangu, Londorossi, and the other gates are outside the city fare. Ask for the quote, and see the list on park gates.
